Booking Terms

1. Program Cost: The program cost will be as per the Dated Proposal shared with by an Authorized Representative of The Explorers Lab.

2. Payment Timelines: All the instalments must be paid in full by the final payment deadline as stated in the Dated Proposal to avoid any cancellation and/or late fees.

3. Inclusions: Program cost is inclusive of flights, accommodation, travel insurance, all activities (unless specified as optional), travel kit, applicable taxes and mandatory gratuities.

4. Exclusions: Program Cost excludes:

a. Items of personal nature: snacks, soft drinks, laundry and room service

b. Service tips: students are expected to pay service tips to guides and coach drivers. For this purpose, we recommend students carry USD 4 (or equivalent) per day. This will be collected & distributed by the lead teacher

c. Visa fee and assistance:  visa fee is not included in the above-mentioned program cost, however, assistance for visa application can be provided on a chargeable basis by a 3rd Party agent recommended by The Explorers Lab.

5. Travel Documentation and Visas: It is the sole responsibility of every participant to have valid and necessary travel documents & immigration requirements prior to the date of departure. Passports should be valid for 6 months from the date of return. In case of cancellation of trip due to failure in obtaining a visa up to 30 days before to program start date, 85% of the Program Cost will be refunded. If cancellation is  between 0-30 days, then the standard cancellation policy of 100% cancellation will apply. 

6. Travel Insurance: A standard travel insurance namely AIG Gold, is taken for all students enrolled on the program. Details of coverage can be viewed on https://www.aig.ae/individual/travel-insurance. This insurance does not offer a financial guarantee in a scenario against  trip cancelation due to Force Majeure conditions., e.g. COVID-19. An additional insurance will have to be undertaken to cover the risk of financial loss.

7. Meals: Meals are provided as mentioned in the day-wise itinerary as Breakfast [B], Lunch [L], Dinner [D]. In instances where pre-booked meals are not possible, allowance of USD 10 or equivalent will be given to all participants.

8. Chaperone Ratio: Accompanying chaperones in the ratio of 1:10 students.

9. VAT: All programs outside the UAE will be zero rated as per the current VAT guidelines. Any change in the guidelines will result in a change in the pricing.

10. Force Majeure Events: Except where otherwise stated in these Terms and Conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected or you otherwise suffer any damage, loss or expense of any nature whatsoever as a result of ‘Force Majeure’. ln these Terms and Conditions, ‘Force Majeure’ means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include acts of God or Government, war or threat of war, riot, civil strike, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, epidemics or pandemics, adverse weather conditions, fire and all similar events outside our control.

11. Combined Groups: In some instances, when the number of minimum paying participants is not met, you may be asked to combine your group with other groups undertaking a similar program. This combination will allow us to secure your quote. If the school chooses not to be combined and is willing to travel with less than the minimum number of participants, an Additional Group Program Cost will be applicable, which can be split on each participating student.
